How can small organizations keep fundraising software simple and organized?

I’ve noticed that even relatively small organizations can end up using several digital tools for payments, forms, email lists, spreadsheets, and record keeping. Over time, information can become scattered between different accounts. What practical habits help you keep fundraising software organized without spending more time managing the tools than actually using them?

I’d start with a simple spreadsheet listing each platform, what it is used for, who has access, and where important reports are stored. It’s also helpful to review the list every few months. Sometimes an organization keeps paying attention to an old tool simply because nobody remembers whether it is still needed.

For organizations using online fundraising software, I’d pay attention to how different tools connect with each other. Some platforms can integrate with CRMs, email systems, or websites, which can reduce repetitive data entry. I’d still document those connections somewhere, because integrations can be easy to forget after staff changes. While looking into general software-related experiences, I also came across actblue customer support as another reference point.
