looking for more efficient way to do invoices to send by email

Right now I am hand writing all of my 2-part carbon less invoices and have to scan them to attach them to emails.

I have some customers that want the invoice emailed to them so I have to write them out, scan them and then email them to the customer.

I am sure there is a way to scan my invoice so that it can be a template so I can just fill in the info and then attach it to the email but not sure how to do this.

I would like to have it on both computers so that when I need to send an invoice, no matter which computer I am on, I can just fill out the invoice, save it as that customer's name and date then attach it to the email and send it.

I have a new customer with 30-40 trucks that will have to be invoiced separately so that is a lot of writing if I cannot type them out.

Just trying to speed things up and be able to send invoices out faster as I can type a lot faster than I can write.

Any ideas on how to do this with the invoice?

Thanks.

It should be as simple as scanning your invoice on to your computer and saving it as a pdf, or a text document which can be saved on both computers. Simply open the document on whichever computer, fill in the desired info and save it as whatever you want then attach to email. I know a guy who has a laptop and printer set up in his main truck. He will type in all the info, print out the customers copy on site if they are present and email it at the same time, no writing involved.

We started to using Invoice ASAP along with our QuickBooks this year to be able to leave a estimate from our IPad and sync it to our QuickBooks on the desktop. We can also send invoices from either one. It also sync all our customer information so that even when we are out in the field we can have all our previous customers information. You also can even add as many computers and limit the access. So far we like it.

I use Invoice2go,works great.

I have a computer on at the office, I just do remote desktop in via a surface I picked up on a black friday deal for next to nothing. Takes just as long to log into the office computer and do the invoice in quickbooks as it takes to fill out the paper book manually. I only use the manual ones when the customer needs something to sign on the spot. Even then I am working on being able to just sign the pdf on the surface and then email directly.

I was thinking of just having the form on my computers so that I can just fill in the blanks, save it and attach it to an email, I was hoping to not have to pay a monthly fee as I don't have to do this often and that is hard to justify a monthly fee.

I am sure there is a way to do this without having to pay a monthly fee.

Chris,
How are you keeping your books? Have you updated your accounting software recently? I have been able yo email invoices off quick books for at least 15 years.

I bought Quickbooks pro but have not installed it yet, will be doing that this week.

I guess it's time to update my quick books that I bought in 1999. My cpa has been bugging me for at least five years to update.
